Prize Verification Policy
Every prize claim is independently verified before payment. This page sets out exactly how that happens.
1. Continuous camera capture
- Multiple cameras at the competition tee box and around the green continuously record during the active competition window.
- Footage is time-stamped and stored against the entrant's unique entry reference at the moment of payment confirmation.
- Tampering with, obstructing or repositioning the cameras voids the entry.
2. Submitting a claim
If an entrant believes they have made a hole-in-one, they submit a claim via the confirmation screen after their entry, or by emailing hello@chasetheacegolf.co.uk within 24 hours of the attempt with their entry reference.
3. Independent verification steps
- Camera review. Footage from tee and green is reviewed by the verification team against the entry timestamp.
- First-ball check. Confirmation that the ball that came to rest in the cup was the first ball struck from the designated tee.
- Rules of Golf check. The attempt must comply with the R&A Rules of Golf in force.
- Course and tee check. The tee box, hole and date are verified with the partner club.
- Witness confirmation. Where available, fellow competitors or club staff are asked to confirm the attempt.
- Identity verification. The claimant provides government-issued photo ID matching the entry details.
- Handicap / golfer verification. Where applicable, handicap index and club membership / green-fee record are verified.
4. Timeline
The verification team aims to complete review within 48 hours of a claim being submitted. Prize payment is made within 7 business days of successful verification and completion of identity checks, in line with the AML & Fraud Prevention statement.
5. Disputes
Where a claim cannot be verified, the entrant is notified with reasons. Entrants may appeal in writing within 14 days to hello@chasetheacegolf.co.uk; a senior reviewer not involved in the original decision will review and respond.
6. Final determination
The Promoter's verification decision is final, subject to applicable statutory rights.
